What you walk away with

What your free AI readiness assessment includes

Most AI advice is either a sales pitch for one tool or a pile of generic tips. The assessment from Petronella Technology Group, Inc. is specific to your business, written down, and yours to keep whether or not you hire us.

1

Use-case ranking

The workflows where AI can save your team the most time, ranked so you know what to do first and what to skip.

2

Data and security review

Which of your data can safely touch AI, which cannot, and the controls to put in place before anything goes live.

3

Hardware and model pick

Right-sized hardware and open-weight models for your workload, instead of guessing at GPUs or paying per seat forever.

4

Phased rollout plan

A practical sequence with budget: one quick win first, then expansion once it proves itself. Optional prototype and pilot.

How it works

Three steps. About 15 minutes of your time.

Today, 60 seconds

1. Send the short form

Name, work email and, if you like, a phone number. We reply within 4 business hours to find a time that suits you.

15 minutes

2. Discovery call

A plain-English conversation about how your business runs, where hours are lost, and what data is involved. No slides, no pressure.

After the call

3. Your written assessment

The use-case ranking, data and security review, hardware recommendation and phased plan. Implementation, if you want it, is quoted on scope.

Public AI vs. private AI

Why your data should not leave the building

Free chat tools are a great way to see what AI can do. They are a risky place to put your contracts, patient records, pricing or controlled defense information. Here is the difference in plain terms.

Public AI chat toolsPrivate AI from Petronella Technology Group, Inc.
Where your data goesSent to a third-party providerStays inside your environment
How you payPer seat or per token, rising as use growsHardware you own, with no per-token fees
Who controls the modelThe provider can change or retire models without noticeYou choose the model and keep the version
Your own documentsLimited to what the provider allows you to uploadRetrieval over your contracts, SOPs, tickets and knowledge base
Regulated dataDepends on the provider’s terms and your contractDesigned for CUI, PHI and confidential client data

To be fair to public tools: they are fine for work that contains nothing sensitive, such as brainstorming a newsletter headline or explaining a spreadsheet formula. The trouble starts when they become the default for everything, because nobody gave your team a safe alternative. Most businesses end up with a mix: approved public tools for low-risk tasks, and a private deployment for anything involving customers, money, health information, contracts or defense work. The assessment draws that line clearly for your business, so your team knows which tool to reach for and why, and you can stop worrying about what is being pasted where.

What a first project can look like

Practical AI, not science fiction

These are typical examples of where a first private AI project starts. They are illustrations to spark ideas, not client case studies. Your assessment ranks the options that fit your business.

An assistant that knows your business

Staff ask questions in plain English and get answers drawn from your own handbook, SOPs, policies and past work, with the source document cited so they can check it. New hires stop interrupting senior people for the same answers.

First drafts in minutes

Quotes, proposals, letters and reports start from a draft built on your previous documents and your house style. Your team edits and approves instead of starting from a blank page, and nothing leaves your network.

Inbox and intake triage

Incoming email, web forms and documents are read, summarized and routed to the right person, with the key details pulled out. Requests stop sitting unanswered because they landed in the wrong mailbox.

Search across your files

Find the clause, the spec, the prior matter or the old quote in seconds across thousands of files on your own systems. Useful anywhere people spend hours digging through shared drives.

Inside the assessment

What our AI readiness assessment looks at, and why

Every business asks the same question: should we be doing more with AI? The honest answer depends on six things. Petronella Technology Group, Inc. works through each of them with you, in this order.

1. Your current workflows

We start with how work actually moves through your business today: the email that becomes a quote, the intake form that becomes a file, the question a customer asks for the hundredth time. AI earns its keep on work that is repetitive, text-heavy and slowed down by people searching for information.

Mapping this first keeps the conversation grounded. It stops the project from becoming a search for somewhere to use a tool you already bought, and it surfaces the hours your team would most like back.

2. The use cases worth doing first

Not every idea deserves a budget. We rank the candidates by the value they return, the effort they take and the risk they carry, so the first project is one your team will notice and your finance lead will approve.

Common early wins include drafting routine documents, answering internal questions from your own policies and manuals, sorting inbound email and forms, and summarizing long files. The ranking is specific to you, not a generic list.

3. Your data and security posture

This is where most AI projects go wrong. Before a model sees anything, you need to know which data is public, which is internal, and which is regulated, such as controlled unclassified information, protected health information or client-privileged material.

We look at identity and access, logging, and where data flows today, then mark what can safely be used and what must stay out of reach. Our team has protected North Carolina businesses since 2002, so security is the starting point, not an add-on.

4. Hardware and model recommendation

Private AI runs on hardware you control, and sizing it well is the difference between a smart investment and an expensive space heater. We match the workload to the right class of machine and to open-weight models such as Llama, Qwen and Mistral.

We test this hardware ourselves and publish the results in our LLM benchmarks, so the recommendation is based on measured performance rather than a vendor brochure.

5. A phased rollout plan with budget

Big-bang AI projects stall. We lay out a sequence instead: one contained quick win, measured against how the work is done today, then expansion to the next use case once the first one proves itself.

Each phase comes with a budget, so you can decide how far to go and when. You can run the plan with your own team, with us, or with another provider. It is yours either way.

6. Optional prototype and pilot

If you want to see it working before committing, we can build a prototype of the top use case and run a small pilot with real users and non-sensitive data. That turns the plan into something your team can try, question and improve.

The pilot is optional and quoted separately. The assessment itself is free and carries no obligation to continue.

Where do you stand?

Signs you are ready for AI, and signs to fix the foundation first

Every business lands in one of two places. Knowing which one you are in saves months and money. Here is a quick self-check you can run before the call.

You are likely ready to start

  • Repetitive, text-heavy work eats hours every week: quotes, intake, reports, routine email.
  • Knowledge is locked in documents people search through: manuals, policies, past proposals, case files.
  • Someone can own a pilot and judge honestly whether it helps.
  • Basic security is in place: managed devices, multi-factor authentication, and a clear idea of where sensitive data lives.

Fix the foundation first

  • Staff paste company or client data into free chat tools, with no written rules.
  • No one can say which systems hold regulated data such as CUI or PHI.
  • Shared passwords or unmanaged devices, or no multi-factor authentication.
  • AI is being bought because a demo looked good, not because a specific workflow needs it.

Fix-first does not mean wait. It means the first phase of your plan closes those gaps, so the AI project that follows does not open a new risk. Your assessment tells you which group you are in and exactly what to do next.

Avoid the expensive lessons

Five costly AI mistakes the assessment helps you avoid

1. Leaking data through free tools

The most common AI risk is not a hacker. It is a well-meaning employee pasting a contract, a patient note or a price list into a public chatbot to save ten minutes. Once that data leaves, you cannot pull it back. The assessment identifies where this is likely to happen and what to offer your team instead.

2. Paying per seat for tools few people use

Per-seat AI subscriptions add up quickly, and licenses often go unused once the novelty wears off. Before you sign up the whole company, it pays to know which roles actually benefit and whether a private deployment would cost less over time.

3. Buying the wrong hardware

Overbuy and you pay for capacity that sits idle. Underbuy and responses crawl, users give up, and the project gets labeled a failure. Matching the hardware to the actual workload is one of the most valuable parts of the plan.

4. Starting with the hardest problem

Ambitious first projects tend to stall, and a stalled first project makes the next one harder to fund. A contained quick win builds confidence, produces real results, and teaches your team how to work with AI before the stakes rise.

5. Skipping the rules

AI without guardrails is how data ends up in the wrong place. Your team needs to know which tools are approved, what data is off limits, and who to tell if something goes wrong. If you do not have a written AI policy yet, the assessment flags it, and our free template is a good starting point.

Who this is for

Built for businesses that cannot afford a data leak

Defense contractors

AI that keeps controlled unclassified information inside a controlled boundary, planned by a team that works on CMMC every day. See our CMMC compliance services.

Healthcare organizations

Help with documentation, scheduling and internal questions, without sending protected health information to a public service.

Law firms

Search and summarize your own matter files and precedents while privileged material stays on systems you control.

Financial services

Faster document review and client correspondence, with client financial data kept out of third-party models.

Manufacturers

Answers from manuals, SOPs and quality records on the shop floor, plus help with quotes and supplier paperwork.

Small and mid-size businesses

A practical first step into AI that fits your size and budget, instead of paying per seat for tools half the team never uses.

Who you will be working with

Security people who build AI, not the other way around

Craig Petronella founded Petronella Technology Group, Inc. in Raleigh in 2002. Before AI was a buzzword, the firm was already protecting North Carolina businesses from data breaches and compliance failures. That background shapes every AI project we take on: security and privacy come first, and the technology follows. When you request an assessment, you work with a Raleigh-based team that puts every recommendation in writing, so you can check our thinking and share it with your partners or board.

How to prepare for your discovery call

You do not need to prepare anything. But if you have five minutes beforehand, jotting down these points makes your written assessment sharper.

  • Three tasks that frustrate your team. The jobs people complain about, put off, or redo are usually where AI helps first.
  • The data those tasks touch. Customer records, financials, health information, contracts, or controlled defense information.
  • Your compliance obligations. CMMC, HIPAA, client contract terms, or cyber insurance requirements.
  • Tools you already pay for. So the plan builds on what you have instead of adding another subscription.
  • Who would own a pilot. One person who knows the work and can judge whether the result is better.
FAQ

AI readiness assessment FAQ

What does the AI Readiness Assessment cost?

The initial AI Readiness Assessment is free, with no obligation. You receive the findings, a use-case ranking and a phased plan. If you decide to move forward, implementation is quoted based on scope.

How long does the assessment take?

The request form takes about 60 seconds. The discovery call takes 15 minutes. Your written assessment, with the use-case ranking and hardware recommendation, follows the call.

Is private AI hosted in the cloud or on-premises?

Both are options. For regulated data such as CUI, PHI and PII, we recommend on-premises or private-cloud deployments. Hybrid setups can make sense for everything else. Your assessment includes a recommendation for your workloads.

Will my data be used to train someone else’s model?

No. We deploy open-weight models that you own and operate. Your prompts, documents and conversations stay inside your environment.

How is private AI different from just using ChatGPT or Copilot?

Public AI services send your data to a third party, charge per seat or per token, and can change models without notice. A private deployment runs on hardware you control, keeps your data inside your environment, and lets you choose and keep the model version.

Do I need to be technical to take part?

No. The discovery call is a business conversation about how your team works, where time is lost and what data is involved. We translate that into the technical recommendation.

What size businesses is this for?

Small and mid-size businesses as well as larger organizations, including defense contractors, healthcare organizations, law firms, financial services firms and manufacturers.

Can you help with CMMC or HIPAA requirements at the same time?

Yes. Petronella Technology Group, Inc. is a CMMC Registered Provider Organization (RPO #1449) with CMMC-RP credentialed staff, and the assessment considers how AI fits your compliance obligations before anything is deployed.

What happens after I submit the form?

We reply within 4 business hours to schedule your 15-minute discovery call. If you would rather talk right away, call 919-348-4912.

Will you try to sell me something on the call?

The call is about your business, not a product demo. If there is a fit for further work, we will explain the options and quote on scope. The written assessment is yours to keep either way.

Where are you located, and who do you work with?

Petronella Technology Group, Inc. is based at 5540 Centerview Dr., Suite 200 in Raleigh and works with businesses across North Carolina.

I am not ready for a call. Is there something I can review first?

Yes. Our free 80-point AI Readiness Checklist lets you score your business across eight areas on your own, and it is the same checklist our team walks through with clients before any AI engagement begins.
