Power BI for Law Firms
Power BI for law firms turns disconnected practice management, time and billing, accounting, and CRM data into one set of dashboards your managing partner, COO, and practice group leaders can actually run the firm with. Petronella Technology Group, Inc. builds law firm analytics in Power BI, matter profitability, attorney utilization, realization, AR aging, conflicts monitoring, and trust account health, on top of Clio, MyCase, PracticePanther, Smokeball, CosmoLex, ProLaw, Aderant, and your accounting system.
What Power BI dashboards do law firms need?
Most firms need six core dashboards to run the practice: a Managing Partner Daily view (cash position, AR aging, WIP, new matters opened), a Practice Group P&L (revenue, direct cost, contribution margin by practice area), a Matter Profitability dashboard (effective rate, write-offs, budget vs actual), an Attorney Scorecard (billable utilization, realization, collection), an Origination and Working Attorney report (credit splits, cross-sell), and a Trust Account Health view (IOLTA balances, three-way reconciliation status, escheatment risk). Petronella Technology Group, Inc. builds these on top of Clio, MyCase, PracticePanther, Smokeball, CosmoLex, ProLaw, Aderant, or any combination, plus your accounting system, document management platform, and CRM.

The month-end profitability surprise
Every managing partner has lived this Tuesday morning. The month-end financials land on your desk. A matter you assumed was 30 percent profitable closed the quarter at negative 12 percent. A practice group you thought was carrying the firm is actually running 4 points behind its target on realization. An associate you expected to make partner has quietly dropped 11 points of billable utilization since June. None of it was visible until the books closed, and now it is too late to do anything about it for that quarter.
This is the structural problem with running a law firm on practice-management-system reports and a quarterly P&L from the accountant. The practice management system shows you operational data: hours entered today, invoices ready to bill, balances on a matter. The accounting system shows you trailing financial data: revenue and expense after the books close. Neither system shows you the leading indicators, matter-level effective rates trending against budget, attorney utilization week-over-week, AR aging buckets crossing the 90-day line, write-down patterns by partner, in time to act.
Power BI bridges that gap. A properly modeled semantic layer joins time and billing data, accounting data, CRM, and practice management activity into one analytic surface. Managing partners and practice group leaders see what is happening as it is happening, not three months later. That is the difference between running the firm and reading about it.

The law firm KPI library
Every Petronella Technology Group, Inc. Law Firm Pack engagement implements a baseline KPI library mapped to the firm's chart of accounts, time codes, and practice management taxonomy. Firms then layer their own custom metrics on top. Here are the measures we model by default.
These are the measures partners actually want to see weekly. They are not vanity metrics, each one drives a specific management action. Utilization drops in a single attorney signal a burnout or disengagement risk. A jump in 90+ day AR for a specific client signals a collection conversation. Write-off rate by partner identifies the billing judgment problem most firms know about but never quantify.
Data source integration: the systems we connect
The Law Firm Pack semantic model joins data from across the firm's stack. We have implemented every category below at production firms. The exact list per engagement depends on the firm's existing investments.
Practice Management
Clio, MyCase, PracticePanther, Smokeball, CosmoLex, ProLaw, and other major platforms. Each exposes a documented API (Clio, MyCase, PracticePanther, Smokeball, CosmoLex are cloud-native) or a SQL Server backend (ProLaw, on-prem deployments) that Power BI reads through a custom connector or on-premises data gateway.
Time and Billing
Aderant Expert, Centerbase, Tabs3, TimeSolv, BillQuick. These are often the source of truth for hours worked, hours billed, and invoice history at larger firms even when the practice management system is separate. We map timekeeper hierarchies, rate cards, and matter taxonomies.
Accounting
QuickBooks Online, Xero, NetSuite, Sage Intacct, and LeanLaw (which integrates directly with QuickBooks and overlays law firm-specific reporting). For firms running CosmoLex as the consolidated accounting plus practice management system, we read from CosmoLex's consolidated data layer.
Document Management
NetDocuments, iManage, Worldox. We pull metadata only (matter ID, document type, last-modified date, author) for matter-activity dashboards. We do not pull document contents. This lets us identify dormant matters (no document activity in 60 days) without touching privileged work product.
CRM and Intake
Lawmatics, HubSpot, Salesforce, Lexicata (now Clio Grow). Pipeline visualization, source attribution, conversion rate from inquiry to engagement, and intake bottleneck identification.
Email and Calendar
Microsoft 365 Graph data for attorney activity context (without reading message contents), matter-related calendar time, deposition and court appearance tracking, and travel time visibility for fixed-fee matters.
The integration architecture matters as much as the dashboards. Petronella Technology Group, Inc. uses certificate-based service principals (not shared passwords), on-premises data gateways for backend SQL Server systems, and Row-Level Security applied at the semantic model layer so the same dataset serves a managing partner, a department chair, and an individual attorney with appropriate visibility for each.

Example dashboards we build for law firms
Managing Partner Daily
One page. Cash position, AR over 90 days, WIP under-billed, new matters opened this week, matters closed this week, top-five collection conversations needed, and one anomaly alert generated overnight by a Petronella fleet AI service. Read in 90 seconds with morning coffee.
Practice Group P&L
Revenue, direct timekeeper cost, allocated overhead, contribution margin for each practice area. Trendline by month. Compare with prior-year same period. Drill-through to attorney scorecards for the underperforming group.
Matter Profitability
Sortable list of open and recently closed matters with effective rate, write-down rate, budget variance, days to payment. Color-coded by profitability tier. Drill to the time entry detail to see where hours went over budget.
Attorney Scorecard
Per-attorney view of utilization, billing realization, collection realization, effective rate, and origination credit. Trendline over 12 months. Used in partnership meetings and individual performance reviews.
Origination & Working Attorney
Credit splits between originating, working, and supervising attorneys. Cross-sell tracking, how many practice areas a client engages. Helps compensation committees and managing partners verify origination credit policy is being followed.
Pipeline by Source
New inquiry and new engagement pipeline pulled from intake CRM. Source attribution (referral source, marketing channel, website, prior client). Average days from inquiry to engaged matter. Conversion rate by source and by intake attorney.
Write-Down / Write-Off
Where revenue is leaking and why. Breakdown by partner, by practice area, by reason code, by matter type. The single dashboard most firms regret not having sooner.
Trust Account Health
IOLTA and trust balances by client, three-way reconciliation status (book balance vs bank balance vs client subledger), oldest funds in trust (escheatment risk), and bar-rule compliance checkpoints. Designed in consultation with the firm's bar counsel and accounting team.
Conflicts Dashboard
Aggregates new client and adverse party data, runs fuzzy-name matching against historical clients and parties, and surfaces potential conflicts for the conflicts attorney to review. Not a replacement for the firm's formal conflicts process, a visualization and monitoring layer over it.
Ethical walls, privilege, and Row-Level Security
Law firm data carries three structural sensitivities that are not present in most other Power BI projects: attorney-client privilege over matter contents, ethical walls that segregate attorneys from specific matters or clients, and the bar-rule duty of confidentiality over client information generally. Power BI for legal must be architected for these from the first design conversation.
We use Row-Level Security (RLS) in the semantic model to enforce ethical walls. A litigator screened from an M&A matter has a security role applied to her account that filters every measure and every visual to exclude that matter, in every dashboard, automatically. The wall is built into the data model, not into individual reports, so a new dashboard built six months later inherits the same restriction without anyone having to remember.
For client-confidence sensitivity, we apply Microsoft Information Protection (MIP) sensitivity labels to datasets containing privileged client communications, work product, or sensitive deal data. The labels follow the data into Excel exports, into PowerPoint, and into other Microsoft 365 surfaces. Labels also block specific actions, for example, a dataset labeled "Highly Confidential" cannot be shared externally, cannot be published to web, and cannot be exported by users without the appropriate role.
Petronella Technology Group, Inc. advises law firms to consult their state bar on the specific ethical wall, conflicts of interest, and confidentiality requirements that apply to their jurisdiction and matter types. The firm's bar counsel and ethics committee define the policy. Petronella Technology Group, Inc. implements the technical controls that enforce that policy in Power BI.
Compliance angles: CUI and PHI inside the law firm
Two specific compliance scenarios come up often in law firm Power BI engagements and each materially changes the architecture.
Federal contract work and CUI. Firms representing defense contractors, or directly bidding federal legal services, may handle Controlled Unclassified Information (CUI) on behalf of clients. That triggers DFARS 252.204-7012 and CMMC obligations for the firm. Commercial Microsoft 365 and commercial Power BI are not the correct tier for CUI processing. We use a three-pattern decision tree for that workload, covered in detail on our CMMC Power BI reporting page. Petronella Technology Group, Inc. is RPO #1449 with The Cyber AB and our entire delivery team holds the CMMC-RP designation, so the same firm builds your dashboards and your CMMC posture.
Medical malpractice, personal injury, and PHI. Firms representing healthcare clients, or plaintiffs in medical malpractice and personal injury matters, routinely receive Protected Health Information (PHI) from clients and from records subpoenas. The firm is typically a Business Associate under HIPAA in that scenario, which triggers a Business Associate Agreement with the covered entity and HIPAA Security Rule controls on the firm. Power BI for that workload requires Microsoft's BAA coverage, Row-Level Security to enforce minimum-necessary access, audit log retention to satisfy the six-year rule, and a strict policy that blocks the Publish to Web feature. We address that scenario in detail on our HIPAA Power BI dashboards page.
Petronella Technology Group, Inc. advises law firms with federal or healthcare scope to consult their state bar and outside privacy counsel on the specific notification, contracting, and supervision duties that apply in addition to the technical controls.
AI augmentation: private LLMs over your firm's data
Generative AI gets oversold in legal tech marketing. What actually moves the needle is narrow, well-scoped AI applied to the operational data the firm already has. Petronella Technology Group, Inc. layers three concrete AI capabilities onto every Law Firm Pack engagement.
Pipeline-Stalled Alerts
An overnight job scans matters with no time entered in 30 days and no document activity in 60 days. The result lands in the managing partner inbox as a short, sorted list of matters that have gone dormant, with the responsible attorney, last activity date, and a one-sentence summary of the matter's most recent communications. Caught early, dormant matters become collection or scope conversations. Caught late, they become write-offs.
Utilization Anomaly Detection
A statistical model on the fleet flags attorneys whose billable utilization has dropped significantly relative to their own 12-month baseline. A sudden 20 percent drop is a signal, burnout, disengagement, a personal crisis, a hidden capacity issue, or a quiet job search. The model surfaces the signal; the managing partner has the conversation. The alternative is finding out at compensation review when it is too late.
Weekly Managing Partner Narrative
A private large language model running on Petronella infrastructure generates a one-page narrative summary of the firm's week from the dashboard data, what moved, what is concerning, what to act on. Read in 90 seconds. No firm data leaves the Petronella encrypted environment. This is the "Penny on your data" capability the same private-AI architecture supports for client matter intake, document search, and conflicts research.
Critically, none of these capabilities require sending firm data to a public LLM provider. Petronella Technology Group, Inc. runs the inference layer on its own GPU fleet, so privileged matter data and client confidences never leave the boundary the firm controls. That is the design constraint the legal market actually has, and it is the one most public AI tools cannot meet.
Engagement model: Law Firm Pack
Petronella Technology Group, Inc. delivers Power BI for law firms as a packaged engagement: the Law Firm Pack. The pack covers data inventory, semantic model build, the core nine dashboards described above, RLS configuration for ethical walls, training for partners and finance, and a 60-day post-launch support window. Larger firms add custom dashboards on top.
| Engagement scope | Typical firm profile | Timeline | Investment |
|---|---|---|---|
| Law Firm Pack, Core | 10 to 35 attorneys, single cloud practice management system, QuickBooks Online or Xero | 8 to 10 weeks | Request a Quote |
| Law Firm Pack, Expanded | 35 to 100 attorneys, multiple practice areas, NetDocuments or iManage, CRM | 10 to 14 weeks | Request a Quote |
| Law Firm Pack, Enterprise | 100 to 200 attorneys, multi-office, Aderant or ProLaw, complex compensation | 14 to 20 weeks | Request a Quote |
| Add-on, CMMC scope | Firms representing defense contractors or bidding federal work involving CUI | Adds 6 to 10 weeks | Request a Quote |
| Add-on, HIPAA scope | Medical malpractice, personal injury, healthcare regulatory practices | Adds 4 to 8 weeks | Request a Quote |
| Managed Reporting Retainer | Post-launch: monthly content updates, dashboard additions, model refresh | Ongoing | Request a Quote |
Every Law Firm Pack engagement is fixed-fee at the milestone level, paid 100 percent upfront at contract execution. No splits, no net-15 invoicing on the build. Managed reporting retainers are billed monthly in advance. This is the same payment model Petronella Technology Group, Inc. uses across every fixed-fee engagement and it lets us build at the pace the work requires rather than at the pace of an AR cycle.

25-attorney boutique litigation firm
Clio Manage plus QuickBooks Online plus HubSpot. Six-month-old firm, two name partners, no analytics function. Law Firm Pack, Core delivered the nine dashboards plus a custom contingent-fee matter dashboard tracking exposure, expected resolution, and recovery probability across the docket. Partner meetings moved from spreadsheet wrestling to one screen.
75-attorney multi-practice firm
Aderant Expert plus NetSuite plus iManage plus Lawmatics. Three offices, six practice groups, a compensation committee that had quietly stopped trusting the origination credit report. Law Firm Pack, Expanded rebuilt the origination model in the semantic layer, exposed the calculation logic to the compensation committee, and replaced the spreadsheet that had been the source of partner-meeting arguments for two years.
140-attorney federal litigation and government contracts firm
ProLaw plus Sage Intacct plus iManage. Firm represents defense contractors on bid protests and post-award disputes, CUI was in scope. Law Firm Pack, Enterprise with CMMC add-on. Power BI runs on an architecture compliant with CMMC L2 expectations; the firm also stood up Petronella encrypted data and email system handling for the document portion of CUI workflow.
50-attorney plaintiff personal injury firm
Smokeball plus CosmoLex plus Lawmatics. Constant intake volume, contingent-fee economics, PHI flowing in from records subpoenas. Law Firm Pack, Expanded with HIPAA add-on. Dashboards include exposure-weighted case value, expected recovery by stage, and intake source ROI. RLS keeps intake staff out of attorney-only case strategy data; sensitivity labels enforce minimum-necessary for PHI.
180-attorney regional firm with three offices
Aderant Expert plus Microsoft Dynamics 365 plus NetDocuments. Complex partner compensation with origination, working, and supervising splits; multiple departments contesting cross-sell credit. Law Firm Pack, Enterprise with custom compensation modeling. Managing partner dashboard now drives the quarterly partnership meeting agenda directly.
How Petronella Technology Group, Inc. compares
| Approach | Strength | Limitation |
|---|---|---|
| Practice management vendor reports (Clio, MyCase, etc.) | Free with the platform; instant access; good for operational day-to-day reporting. | Single-system view only. Cannot join time, accounting, CRM, and DMS. No customization beyond what the vendor exposes. |
| Hire an internal data analyst | Dedicated resource; deep firm knowledge; long-term institutional capability. | Single hire at $120K to $180K loaded; no Power BI, security, or compliance depth on day one; ramp time is 6 to 12 months. |
| Generalist BI consultancy | Power BI delivery experience; standard methodology. | No legal domain knowledge; cannot model origination credit, write-down logic, ethical walls, or trust accounting without expensive learning curve on the firm's dime. |
| Big-4 or AmLaw-tier consulting | Deep methodology; strong project management. | $200K to $500K+ engagement minimums; multi-quarter timelines; mid-market and boutique firms are not their target. |
| Upwork or Fiverr Power BI freelancer | Cheap on the cover page; fast to engage. | No NDA enforcement, no liability coverage, no compliance posture, no continuity. Privileged firm data going to an offshore single-person shop is a confidentiality risk most state bars would not bless. |
| Petronella Technology Group, Inc. Law Firm Pack | Legal domain plus Power BI plus security plus compliance, one US firm, RPO #1449, CMMC-RP staff, 23 years in business, fixed-fee scope. | Engagement minimum applies. Not a Fiverr alternative. |
The legal market has historically been underserved by BI consulting. Most BI shops do not understand origination credit, write-down dynamics, ethical walls, or trust account three-way reconciliation. Most law-firm tech specialists do not deliver Power BI. Petronella Technology Group, Inc. is built around the intersection of the two, legal domain depth and security-credentialed BI delivery in the same firm.

Frequently asked questions
What Power BI dashboards do law firms need?
Most firms need six core dashboards: a Managing Partner Daily (cash, AR aging, WIP, new matters), a Practice Group P&L (revenue, direct cost, contribution margin by practice area), a Matter Profitability dashboard (effective rate, write-offs, budget vs actual), an Attorney Scorecard (billable utilization, realization, collection), an Origination and Working Attorney report (credit splits, cross-sell), and a Trust Account Health view (IOLTA balances, three-way reconciliation status). Petronella Technology Group, Inc. builds these on top of Clio, MyCase, PracticePanther, Smokeball, CosmoLex, Aderant, or any combination plus the firm's accounting system.
Will Power BI work with our practice management system?
Yes for the major cloud-based systems. Clio, MyCase, PracticePanther, Smokeball, and CosmoLex all expose APIs that Power BI can read through custom or third-party connectors. On-premises systems like ProLaw, Aderant, and Tabs3 typically require a direct SQL Server or ODBC connection through an on-premises data gateway. Petronella Technology Group, Inc. assesses your specific stack and recommends Import, DirectQuery, or hybrid refresh based on your data volume and freshness needs.
How do you handle attorney-client privilege and ethical walls in Power BI?
We use Row-Level Security (RLS) to restrict which matters, clients, and practice areas an attorney can see, building the ethical wall logic into the semantic model rather than the reports. We also apply Microsoft Information Protection sensitivity labels to datasets containing client confidences. Petronella Technology Group, Inc. advises law firms to consult their state bar on the specific ethical wall and confidentiality requirements that apply to their jurisdiction and matter types, we implement the technical controls; bar counsel confirms the policy.
Can Power BI run conflicts checks?
Power BI can surface a conflicts dashboard that aggregates new client and adverse party data from your practice management system, flags fuzzy-name matches against historical clients and parties, and alerts the conflicts attorney for review. It is not a replacement for the formal conflicts process or your conflicts software, it is a visualization and monitoring layer over it. Petronella Technology Group, Inc. advises law firms to consult their state bar on conflicts of interest rules that apply to their practice and jurisdiction.
What is the difference between billable utilization and realization?
Billable utilization is the percentage of an attorney's available hours that are recorded as billable time. Realization is broken into two stages: billing realization (hours billed divided by hours worked, which captures write-downs at invoice time) and collection realization (cash collected divided by amount billed). Effective hourly rate multiplies all three: utilization × billing realization × collection realization × standard rate. Petronella Technology Group, Inc. builds attorney scorecards that show each component separately so partners can isolate where revenue is leaking.
How long does a Law Firm Pack engagement take?
A typical Law Firm Pack engagement runs 8 to 12 weeks from kickoff to managed-reporting handoff: 1 to 2 weeks of discovery and data inventory, 2 to 3 weeks of semantic model build, 3 to 4 weeks of dashboard build for the core six views, 1 to 2 weeks of UAT with managing partners and finance, and 1 week of training and rollout. Firms with cleaner data in a single cloud practice management system finish faster; firms consolidating from multiple legacy systems take longer.
Do we need Microsoft Fabric or can we use Power BI Pro?
Most firms under 75 attorneys can start with Power BI Pro per user. Premium Per User (PPU) makes sense once you need paginated reports, larger model sizes, or more frequent refresh. Fabric capacity (F2 and above) is required when you need Copilot in Power BI features, very large semantic models, or you want to consolidate data engineering, warehousing, and BI on one platform. Petronella Technology Group, Inc. runs an F-SKU right-sizing review as part of every Law Firm Pack discovery to avoid over-licensing.
What about firms with federal contracts that touch CUI?
Firms doing legal work on federal contracts or representing defense contractors may handle Controlled Unclassified Information (CUI) that triggers DFARS 252.204-7012 and CMMC obligations. Power BI in commercial Microsoft 365 is not the right tier for CUI processing. Petronella Technology Group, Inc. uses a three-pattern decision tree for that workload and we cover it in detail on our CMMC Power BI reporting page. Petronella Technology Group, Inc. also holds RPO #1449 with The Cyber AB.
What about firms doing medical malpractice or personal injury work that handles PHI?
Law firms that receive Protected Health Information (PHI) from clients in medical malpractice, personal injury, mass tort, or healthcare regulatory matters are typically Business Associates under HIPAA. That triggers Business Associate Agreement obligations with the covered entity and HIPAA Security Rule controls on the firm. Petronella Technology Group, Inc. addresses that scenario on our HIPAA Power BI dashboards page, including Row-Level Security by role, audit log retention, and a strict policy that blocks the Publish to Web feature.
Will Power BI replace our practice management system's reports?
No. Practice management systems have operational reports for day-to-day work, open balances on a matter, time entered today, invoices ready to bill. Power BI sits above that for management reporting: trends over months and quarters, cross-system joins like time plus accounting plus CRM, and partner-level scorecards. Our recommendation is to keep the operational reports in the practice management system and use Power BI for everything that requires cross-system data, historical comparison, or executive narrative.
How do you handle write-offs and write-downs in the data model?
We model write-downs (at invoice time, partner discretion to reduce the bill) separately from write-offs (post-invoice, uncollectible AR). Each gets a separate fact table and DAX measure so partners can see whether revenue is leaking at billing or at collection. We also tag write-down reason codes if your practice management system captures them, which lets the scorecard show whether the cause is overbudget matters, fixed-fee overruns, billing judgment, or client pushback.
How does Petronella Technology Group, Inc. handle data security on this engagement?
We sign a confidentiality agreement before any data access. We use service principal authentication with certificate-based credentials, not shared passwords. We apply Row-Level Security so consultants only see test or aggregated data during build. We enforce sensitivity labels on every dataset that contains client confidences. And we run our own infrastructure on the Petronella encrypted data and email system for any client artifacts that move out of your tenant. We are CMMC RPO #1449 with The Cyber AB and our entire delivery team holds the CMMC-RP designation.
