Every tier follows the same five stages. Only the depth of each stage changes. You will know what is happening on every call because we run this process the same way every time.
Discovery
One working session where we map your current phone flow, document every intent category a caller might have, inventory your calendar and CRM systems, and identify the scope boundaries the agent must respect. For regulated industries this includes a privacy posture review. Output: a written scope document you approve before any build work starts.
Intent Design
We author the intent classification schema and conversation scripts for every category. You review and red-line the language before a single call is routed to the agent. This is where we scope-limit the agent away from topics it should not engage with, such as clinical advice, legal advice, investment advice, or anything touching your export-controlled work.
Voice and Script
We record or clone the agent's voice (with your written consent and release), finalize pronunciation for industry terminology and proper nouns, and validate emotional tone against your brand. You hear sample calls for every intent before we deploy to a real phone number.
Deploy
The agent goes live on a private staging number first. Your team stress-tests it for at least a week. We then cut over to your production number with call forwarding rules that route edge cases straight to your live team. You approve go-live in writing.

FAQ
Can I use my own voice?
Yes, at Tier 2 and above, with your written consent and release. We produce a custom voice clone from recording sessions you approve. Some regulated industries prefer a generic brand voice specifically because it reduces risk of personal-identity impersonation. We will recommend the right approach for your scope.
Will this replace my receptionist?
Usually no. The better question is what your receptionist should be doing instead of answering phones. Most of our clients redirect receptionist hours to patient coordination, case intake, client follow-up, and higher-value conversations that a voice agent cannot handle. The agent catches the calls the human would have dropped or sent to voicemail.
What happens if the agent cannot handle a call?
Escalation rules are written into the intent design in Stage 2. A call the agent cannot handle is forwarded to a live human on your team, or to a voicemail inbox, or to a callback queue, depending on the scope you approved. The agent never pretends to handle something it was not scoped for.
How do you keep PHI or CUI out of the agent's training data?
Training data and conversation data are separate. The agent is trained on your approved FAQ, service list, and curated operations content, which you review before any of it goes near the model. Live call content is handled as production data with the privacy posture your tier dictates. Tier 2 includes HIPAA BAA or CMMC scope-aware handling. Tier 3 never lets call content leave infrastructure you control.
Can it integrate with our calendar and CRM?
Yes. Starter supports one calendar system and a basic CRM handoff. Custom supports multi-calendar, multi-resource booking and deep field-mapped CRM writes. Private Deploy supports full bidirectional integration with your existing sales and operations pipeline. We confirm the specific systems in Discovery.
What is the realistic deployment timeline?
Starter typically goes live two to four weeks from signed scope. Custom typically ships six to ten weeks. Private Deploy is usually twelve to sixteen weeks because the infrastructure deployment adds a parallel workstream. These are realistic ranges, not marketing promises. We will commit to a date after Discovery, not before.
What happens if we want to move providers later?
You own your intent schema, your scripts, your curated knowledge base, and your call logs. You do not own the specific technology stack, which is intentional because it changes often and the specific stack is not the value. If you want to move, we will export everything you own and hand it to you. We have not had that request in production but we have planned for it.
